2005 Introduction The Hampton Oaks Hurricanes Swim Team is a member

Swim Meet Volunteers: HOST NEEDS YOU! Competitive swimming requires parents
to be actively involved in all aspects of our swim meets. Volunteers are
critical to the running of our swim meets. Timers, judges, concessions
attendants, announcers, starters, and scorekeepers are a few of the positions
which are filled by parent volunteers. Volunteering is a requirement for our
team. Each swim family is obligated to volunteer in support of all our home
swim meets, and two of our three away meets. If your child/ren will be participating in finals you will also be
required to volunteer in some capacity for that event. Training for particular positions (i.e. starter,
stroke and turn judge, referee, head timer) is available prior to the
beginning of our season. These volunteer positions are not difficult and can
be a lot of fun. Please see www.RSLswim.org for more information
about these positions. The training schedule is available well in
advance. There are FREE clinics available at our pool on the morning of
May 21st and at the Fredericksburg Country Club on the morning of
June 4th. For other dates and locations, please see the RSL
website. Please talk to our volunteer coordinator and she
will fit you into a position where you will be best suited, and will work
best for your family. When a family can not fulfill their
obligation, it creates an undue burden on other families to contribute more
than their fair share. Consequently, any family who does not meet the
volunteer requirement will result in their child/ren
being withheld from participation in upcoming meets. These circumstances
are most unfortunate, and we as a board will do all that we can to prevent
this from happening, but it is up to you to fully support the team and
fulfill your obligation. The board understands that there may be rare
circumstances that conflict with this obligation. Please keep your Volunteer Coordinator
informed so that there are no misunderstandings. We cannot run these meets
without the assistance of every family. How to Volunteer: Signing up to volunteer has been made very
easy. We have online sign ups. The Hurricanes web address is www.hohurricanes.org . Under
links on the left side of the page click “Volunteer Now.” It will pull
up all jobs available. Each job name is a link that will take you to a
description of that job. To the right is a pull down bar done in
alphabetical order of first names from all who have registered their children
to swim. Once you have made your selection your name will change color and it
can not be changed unless you contact Michele Allen. You will receive an
e-mail confirming your choice, verifying the shift and the meet in which
you have volunteered. Please read the e-mail carefully and make sure the
information is accurate. Please use this as your way of signing
up. It is a first come, first serve basis, and a job once filled will
be closed. Sign up early to get the job you want. It also has a link
for Mrs. Allen if you make a mistake or want more information. Our hope
is to make signing up and volunteering stress free. Michele

are assisting the swim team for non-meet related activity: Greg Thomas Advertisements / Sponsors 720-1443 Conflict Resolution: All parents are encouraged to contact our two
Parent Liaison Reps with any concerns, issues, questions etc. If a parent is not satisfied with the
response from the Parent-Liaison then the issue will be forwarded directly to
the HOST President. Communications: The Hurricanes are connected! We plan to extensively use our own website
and e-mail to spread the latest word about Hurricane happenings. Please help us by including your e-mail
address on your registration forms so we can contact you promptly (and
cheaply!) about team issues. You are
also invited to visit the Hurricanes website at: http://www.HOHurricanes.org We will also be using a black
file box to disseminate information.
The file box, which will be kept on a table near the vending machines,
will contain a file folder for each family as well as one for the coaching
staff and the board. Please check your
folder after each practice for news from the coaches or feel free to use the
box to correspond with the coaches or the board. Finally, a Hurricanes Bulletin Board,
“Super Doppler Radar,” is mounted on the wall near the entrance to the pool restrooms
to keep you informed of team information. HURRICANES PRACTICE SCHEDULE Individual Age Group

meets begin at 5:00 p.m. and meets should end by 10:30 p.m. Rain Dates for all home meets will be the
next day. If swimmers are unable to
attend a meet they should notify the coaching staff, in writing, in advance of the meet by putting a note in Andy Bertolet’s and Michele Allen’s folders in the black file
box. (This is very important for many reasons). If swimmers can’t stay for an
entire meet, they should also notify the coaching staff to ensure the relay
participants are correctly listed. The
earlier the coaches and the volunteer coordinator know about your absences,
the better. Division Finals Since entries are limited
and substitutions are prohibited for the RSL Finals meet, swimmers unable to
participate in finals should advise the coaching staff in writing as far in
advance as possible. Entries are
typically “locked in” one week in advance of the finals meet. Warm-ups for Finals can begin as early as
7:30 a.m., and the meet is an all-day event.
Details will be provided separately. Recommended Clothing/Gear: Suit (team
suit, optional but highly recommended) Team Shirt (optional) Goggles/Cap (Hampton Oaks Cap
– highly recommended) Towel(s) Change of clothes Sweats for cooler
evenings Healthy snacks, water, water, water, sport drinks, or
money for concession stand Books, playing cards,

sportsmanship, quiet for the start, cheer like crazy during the race HURRICANE FUND RAISING ACTIVITY The Hampton Oaks Swim
Team will be pursuing several fund raising activities this season to pay for
team expenses. These activities
include: Swimmer Dues: This is our team’s primary fund raising
tool. A registration form is attached
that will allow swimmers to join the team using a fee structure of $60 for
the first child, $50 for a second sibling, and $40 for each additional child
with a cap of $150 per family (i.e., fourth child and beyond are free). Concessions: Selling
food and drinks at the pool during home meets is a major fund raising
activity for the Swim Team. Your fee
donation helps to purchase the items we sell at all home meets. In the past, families were asked to donate
specific items for each home meet. Our
concessions chairperson polled the team parents last year and received an
overwhelming response for a fee to replace the donations. This will allow the chairperson to shop for
specific needs and watch for sales, etc. T-Shirts/Spirit Wear: Shirts with the Team Logo will be on sale
throughout the season with any profit earned used to defray team expenses. See Deborah Schmitz (288-2686) if
interested in purchasing a shirt, goggles, or any other equipment. Swim-A-Thon: Each
swimmer will be asked to participate in a Swim-A-Thon to be held at the
Hampton Oaks pool on July 9th from 7:00-11:00 a.m. Swimmers will swim as many laps as they can
during a 4 hour session, not to exceed 200 laps. Donations collected by the swimmers will be
used to defray team expenses. No
minimum or maximum donation amounts have been established. Five per cent of
all donations go to support the US Olympic Swim Team, and 95% comes right
back to us. This has the potential to be very productive as well as fun. Heat Sheet Ads: The RSL publishes advertisements in the program
for RSL finals. Each team is expected
to sell $200 in advertisements, which will be used to support league
expenses. Amounts raised over $200 are
returned to the team to help offset team expenses. Greg Thomas is
coordinating this effort for Hampton Oaks and advertising forms will be
available at the registration meeting and throughout June. All advertising submissions are due to the
RSL program committee by the first week in July. You design the page,
include photos, words of encouragement, etc.
Prices are as follows; Full Page $75.00, ½ Page $50.00, and ¼ Page
$25.00. All ads are due by the 1st
of July 2005 to Greg Thomas. Any
questions call Greg @ 720-1443. RSL Webpage: The RSL offers their webpage for people who
need to advertise their home businesses or other businesses. The site gets 1000 hits a week during the
10 week summer swim season. Please contact Bill Grawe
@ 659-6095. Sponsors: The
Hampton Oaks Swim Team is encouraging local businesses to sponsor the
team. Support for major equipment
purchases (lane lines, computer gear…etc) as well as other donations is
appreciated. Greg Thomas is coordinating this effort. (720-1443) HURRICANE RULES SWIMMERS MUST BEHAVE PROPERLY -
