Hampton Oaks
HURRICANES
President's Notes

02-12-05

The planning for the 2005 Hampton Oaks Swim Team Season is about 85% completed. Your Board of Directors (BOD) has been working very hard to ensure the 2005 HURRICANE swim season is a wonderful experience for all swimmers, parents and the entire Hampton Oaks community.

The 2005 HURRICANE season kickoff is now set for Wednesday, April 06, 2005 at the Hampton Oaks Elementary School, from 7:00pm to 8:15pm. We strongly encourage at least one parent of each swimmer to attend. Swimmers are also invited.
You can come early and register at 6:30pm to 7:00pm. Registration will continue after the evenings information exchange is completed at approximately 8:15pm.

In my last note I set our initial priorities for the 2005 season. Let’s see how we are doing.

1 - Hire a head coach and the best coaching staff that is affordable by the end of the year if possible. Accomplished. Please go to the following link on this website for details: http://www.focusonimage.com/HamptonOaks/Swim_Team/HOSTnews.htm

2 - Develop the 2005 HOST budget. Accomplished. Final 2005 budget posted on this website at:
http://www.focusonimage.com/HamptonOaks/Swim_Team/budget.htm

3 - Develop the 2005 fund raising strategy. Accomplished. We have already exceeded our planned sponsor contributions. However, we must continue to aggressively fund raise during the summer in order to maintain our current budget reserve. This budget reserve will be targeted for long term HURRICANE improvement projects. The Swim-a-Thon will get much more emphasis this year and hopefully become a big fund raiser for us. Remember that 5% of all Swim-a-Thon funds raised by our swimmers go to support US Olympic Swim Team. We get to keep 95%.

4 - Complete execution of the HOHOA approved 2004 Capital Improvement items. Accomplished. We have purchased two spare 25M lane lines and a 20’ X 20’ heavy duty community tent. This tent is being kept in a private garage until we can arrange for long term storage. It is available now for community use. Please schedule well in advance through the Landmark office at the HOCC.

5 - Develop proposal for Capital Improvement items for 2005 HOHOA budget. In work. We are hoping to get the HOHOA BOD to approve funding for improved lower deck lighting at the south end of the pool. We are getting estimates now. The goal is to have the new lighting in place by pool opening date.

6 - Update all website pages as appropriate. In work. The goal is to have the entire website under direct control of the HOST BOD to facilitate faster updates. We also hope to get the HOHOA BOD to approve a server for the HOCC on which we will house our website. In the past we’ve been forced to go through a third person private server. The HOST website currently contains the Preliminary HOST Calendar for the 2005 season. The dates listed for Swim Meets and Finals are merely our best guess at this point. Once the RSL determines which division the HOST will compete in next year and the associated schedule of events, we will update and post the Final HOST Calendar.

7 - Review and submit appropriate change recommendations to HOST-HOHOA MOU and the Swim Team Committee Charter. Not started. However, we have developed a comprehensive HOST Business Plan which is consistent with the Charter and MOU and serves as a strategic guide to how the HOST will conduct business.

8 - Review and adjust the HOST Constitution and By-Laws as needed. Not required at this time.

9 - Build as complete an E-mail list of potential 2005 swim families as possible in order to help ensure everyone gets the latest HOST information. Accomplished. We will update the HOST Roster via the registration process. It is critical that we have an accurate roster with correct phone numbers and E-mail addresses in order to provide all swimmers and parents the absolute latest information during the swim season. If someone you know has a child who intends to swim, and is not currently on our E-mail list, please encourage them to send their E-mail address to Andrea Adams at 540-720-3960 / andreawadams@adelphia.net .
